Northern Tales Travel Services Inc. ("Northern Tales," "we," "us") runs guided aurora, winter and day tours in Yukon. We operate northerntales.ca and auroraborealisyukon.com. This policy explains what personal information we collect through these websites and our booking process, why we collect it, who we share it with, and the choices you have.
We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

What we collect
Information you give us. When you send an inquiry, book a tour or email us, we collect what you provide. That usually includes your name, email address, phone number, country, travel dates, number of guests, the tours and add-ons you're interested in, and any notes you add, such as dietary needs, fitness or mobility details relevant to an activity, or clothing sizes for rental gear. Some tours require a signed liability waiver, which includes your name and signature.
Payment information. Payments are processed by Stripe. Your card details go directly to Stripe and are never stored on our websites or seen in full by our staff. We receive a record of the payment (amount, date, and the name and email on the booking).
Information collected automatically. When you visit our websites, we and the tools we use collect information about your visit: pages viewed, how you arrived (for example from a search or an ad), approximate location based on your IP address (city or country level), device and browser type, and the steps you take on our inquiry and booking forms. We use this to understand which pages help travellers plan their trip and where our forms can be improved. We do not use it to identify you personally.
Why we use it
We use your information to:
- Answer your questions and prepare quotes.
- Book and deliver your tour, including transfers, accommodation and partner activities.
- Take payment and keep accounting and tax records.
- Keep you safe on tour, which is why we may ask about health, fitness or experience for certain activities.
- Send you photos from your tour if you ask for them, and ask for a review after your trip.
- Improve our websites and measure which advertising works.
We don't sell your personal information.
Who we share it with
We share only what's needed, and only with:
Partners who deliver part of your trip. Some tours include accommodation, transportation or activities run by trusted local partners (for example lodges, dog sledding kennels or air charters). We share your name, dates, group size and any details they need to host you safely, and only when you book a tour or stay that includes that partner.
Service providers who run our business. These companies handle information on our behalf and may only use it to provide their service to us:
- Webflow. Hosts our websites and receives inquiry form submissions. Data may be stored in: United States.
- Stripe. Processes payments. Data may be stored in: Canada and United States.
- Google (Analytics 4, Tag Manager, Ads). Website statistics and ad measurement. Data may be stored in: United States.
- PostHog. Website statistics and form improvement. Text you type into form fields, such as your phone number and email, is masked and not recorded. Data may be stored in: United States.
- Google (Gmail). Sends and stores our email with you, including booking confirmations. Data may be stored in: United States.
- QuickBooks Online (Intuit). Payment and tax records. Data may be stored in: Canada and United States.
When the law requires it. We may disclose information if required by law, or to protect someone's safety in an emergency.
Some of these providers store information outside Canada, mainly in the United States. Information stored in another country is subject to that country's laws, and authorities there may be able to access it.
Cookies and similar tools
Our websites use cookies (small files saved by your browser) and similar tools for statistics and advertising:
- Google Analytics 4 and Google Tag Manager count visits and show us which pages and countries our visitors come from.
- PostHog shows us where visitors get stuck on our inquiry and booking forms, so we can fix them.
- Google Ads tells us when a visit from one of our ads leads to an inquiry or booking. We don't use remarketing, so we don't follow you around the web with ads after you visit.
- Embedded content from YouTube and TripAdvisor may set its own cookies when it loads.
You can block or delete cookies in your browser settings. You can opt out of Google Analytics with Google's browser add-on at tools.google.com/dlpage/gaoptout, and manage Google ad personalization at adssettings.google.com. Blocking cookies won't stop you from sending an inquiry or booking a tour.
Your consent
By sending an inquiry or booking, you agree to us using your information as described here. We don't send newsletters or marketing email. You can withdraw your consent at any time by emailing our Privacy Officer, though we may need some information to complete a booking you've already made, or to keep records the law requires.
How long we keep it
We keep booking and payment records for seven years for tax and accounting purposes. Inquiries that don't lead to a booking are kept for up to two years so we can follow up on your plans, then deleted. Website statistics are kept in summary form.
How we protect it
We limit access to personal information to staff who need it, use password-protected accounts with two-factor sign-in where available, and use providers that encrypt information in transit. No system is perfectly secure, but we take reasonable steps to protect what you share with us.
Your rights
You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete information we no longer need. Email our Privacy Officer and we'll respond within 30 days.
If you have a concern about how we've handled your information, please contact us first so we can make it right. You also have the right to complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca.
Children
Our tours are booked by adults. We don't knowingly collect personal information online from children under 13. A parent or guardian provides any details we need about a child joining a tour.
Changes to this policy
We'll update this policy when our practices change and post the new effective date at the top. Significant changes will be noted on this page.
